Microsoft’s 365 services are essential for many Australian Businesses. Critical data shared through these services, is often, not backed up. Amidata’s 365 Protect – Securing Microsoft 365 Data, ensures this data is protected and available when you need it.
The use of Microsoft 365 is now widespread within Australian businesses.
It’s a convenient way to stay productive and collaborate anywhere on any device. The licensing provides the flexibility to add or remove users because the needs of the business may change.
Do Microsoft 365 Customers Take Care of their Data?
Microsoft 365 Data is often assumed that it is backed up by Microsoft 365 customers. When a restore is required, customers may find that they have not had the proper infrastructure configured for backups. This may result in the loss of critical Microsoft 365 data.
It is an IT organisation’s responsibility to have complete access and control of their data, no matter where it resides.
Microsoft 365’s Shared Responsibility Model
This model indicates what is Microsoft’s responsibility and what all other group’s responsibilities are.
WHAT IS THE SHARED RESPONSIBILITY MODEL?
The Shared Responsibility Model is Microsoft’s way of explaining what they are responsible for, and what the customer is responsible for.
What it boils down to:
• Microsoft takes care of the Microsoft 365 infrastructure.
• The backing-up, securing and restoring of data, is the responsibility of the customer.
Does the Shared Responsibility Model impact whether your critical data is accessible through Microsoft 365 services?

Microsoft 365 Data needs a Backup Strategy
There are some features within Microsoft 365 that provide some data protection. To ensure all of your data is protected and retained, a backup strategy is needed for Microsoft 365 data.
When a user is deleted, all of their data including SharePoint and OneDrive is also deleted.
So accidental user deletion without a backup means their data could be gone for good.
Internal Security Threats
Whether it is through malicious action or accident, employees can delete data, introduce infected files or leak usernames/passwords, so to protect yourself, this data needs to backed-up and restorable.
The need to retain user and customer data varies widely across industries. Microsoft 365 has some built in protections but they may not be robust or expansive enough to meet the requirements of your industry.
Retention Policy Gaps
Microsoft 365 only includes limited native data retention policies.
Often those native policies will be incompatible with your business’ needs.
External Security Threats
Cyberthreats like malware and viruses often use email systems as entry points into an organisation.
Exchange Online’s limited backup or recovery functions are inadequate to handle serious attacks.
Hybrid Deployments and Migration
Many organisations, when deploying Microsoft 365 will maintain a hybrid on-premises and cloud configuration.
A backup solution that copes with these hybrid scenarios is needed.
